Independent evidence before your monthly cleaning review.

For facilities and Soft FM cleaning reviews, bring independent evidence alongside your cleaning provider’s reports. Each month, our team gathers and reviews evidence from agreed surfaces during a site visit, then provides your facilities team with a private brief before the regular cleaning meeting. The record covers those surfaces at the time of the visit, not the whole building.

What you receive before each review

We provide independent evidence, not cleaning services. Our monthly record sits alongside your CAFM work orders and provider updates; a logged task and a surface finding answer different questions.

A monthly site visit
You agree which surfaces to review with our team. That agreement defines the visit’s scope. Our team gathers and reviews independent evidence from those surfaces; it does not check every task in your cleaning specification.
A private cleaning-performance brief
After reviewing the evidence, we provide a private brief to your facilities team before the regular cleaning meeting. Use it alongside your provider’s reports; your team leads the discussion and makes the decisions.
A record across reviews
Each month’s evidence and brief stay together in the platform. Where records are suitable to compare, you can look for repeated observations over time.

What a brief could look like

Illustrative brief extract

Illustrative example · fictional details

Visit and scope
4 September, 08:40. The agreed visitor-side reception counter only.
Observation
Visible residue was recorded along the counter edge at the time of the visit.
Context
The last clean was reported as the previous evening. Its timing was not independently verified.
Previous record
No comparable earlier observation is available. This alone does not establish a recurring problem.
Question for the review
What cleaning and use took place between the reported clean and this observation, and what other records can help explain it?

A simplified fictional example for discussion, not a client report, proof of a missed clean or the complete private brief.

Used in a real cleaning review

After repeated Hygiene Intelligence visits, one client used our reports in its cleaning reviews and shared the findings with the cleaning team. The reports gave them a record of the surfaces checked to discuss together. Client name withheld.

The evidence covers the agreed surfaces at the time of the visit. It does not verify every cleaning task or assess the whole building, and it is not a health, safety or compliance assessment. Your facilities team uses it with the contract and provider’s information to make decisions.

If you need a review of the contract, staffing, methods or wider cleaning standards, ask for a broader cleaning audit. Our monthly brief covers agreed surfaces and does not replace that audit.

When do you need a broader cleaning audit?
Your contractor’s update
The provider’s account of work, checks and responses. Read it against the agreed specification.
A broader cleaning audit
An assessment that may cover methods, staffing or contract delivery, depending on the agreed scope. See an example from LWC.
Hygiene Intelligence’s monthly brief
Independent evidence from agreed surfaces, ready to use alongside those other records in your cleaning review. Where the records are suitable to compare, review patterns over time.
