What should a facilities manager bring to a monthly cleaning-review meeting?

Bring the cleaning specification, the provider's update, dated facilities observations, the previous brief or report, open actions and the questions that need a decision. Keep each source clearly labelled so the meeting can distinguish what was agreed, what was reported and what still needs follow-up.

Meeting checklist

Prepare the information before the conversation starts.

Use the items that are relevant to the site and contract.

    Bring the relevant specification, service levels, locations, frequencies and exclusions.

    Ask for the provider's service records, attendance update, explanations, changes and proposed improvements.

    Record the date, location and what was observed. Keep the observation separate from assumptions about its cause.

    Bring the records that relate to the review period so the meeting does not depend on memory alone.

    Write down what needs explaining, checking or agreeing, and who will own the next step.

Five final checks

Check the meeting pack before the meeting starts.

  1. Check that the cleaning specification is the current version.
  2. Ask for any missing provider information before the meeting where possible.
  3. Make sure each facilities observation includes a date and location.
  4. Bring only the reports and briefs that cover the review period.
  5. Confirm that every open action has an owner, due date and current status.

A constructive review

Use the information to ask better questions, not to jump to blame.

Ask what the information shows, what context is missing, what has changed and what response is proportionate. A single observation or report should begin a discussion; it should not automatically assign fault to an individual cleaner or the cleaning provider.
